General Description:
The purpose of Program Services is to aid in the alignment of client needs with internal procedures. Regardless of individual tasks, all members of the Program Services Department are responsible for client satisfaction in order to maintain/grow current, and secure future, relationships. Program Director will be responsible for managing projects/activities from concept through completion to ensure the completion of client/funder projects on time and within budget.
Responsibilities:
- Internal
- Manage project timelines
- Manage project budgets
- Manage submission and tracking of project folders through Editorial, Creative, Operations
- Manage accuracy of and effective coordination/organization of project files (hardcopy and electronic) and documents in job folders
- Manage accuracy of and effective coordination/organization of project-related folders on the server
- Develop project briefs in conjunction with other departments
- Review project materials to ensure client directions are followed and marketing/educational messages are met
- Track association and journal deadlines for submission of applications and materials
- Lead communication of project specifications through internal departments
- Approve vendor invoices based on approved estimates and submit to manager for approval
- Manage and mentor Program Coordinator and Associate Program Director
- Manage CME process
- Prepare materials for client/funder meetings
- Assist in the development of tactical plans for ongoing and new business opportunities
- Research background information for new business pitches (faculty, competitive landscape)
- Uphold ACCME, PhRMA, and OIG guidelines
- Take ownership and manage projects from client sign-off (LOA sign off) through project completion
- Produce client status reports
- Schedule and run internal project-specific meetings
- Attend weekly status meetings
- Complete daily time entry

- Prepare written communications for faculty and clients related to specific projects
- Identify, recruit and manage faculty as needed
- Participate in client discussions
- Review program documentation for outside vendors
- Attend client meetings or live programs as needed
- 4-year degree in communications, marketing, or related field
- 3+ years experience in medical education or related industry
- Solid understanding of ACCME, PhRMA, and OIG guidelines
- Solid understanding of medical education and pharmaceutical industries and programming
- Excellent organization skills
- Excellent interpersonal and communication skills
- Thorough knowledge of Microsoft Word, PowerPoint, and Excel
- Detail-oriented, proactive, dependable
