Job Responsibilities
Assist Event Planning Manager with scheduling and coordination of various scheduled client meetings, speaker programs, and daily maintenance of speaker website and databases. Meeting coordination to include: air travel arrangements, ground transportation, hotel accommodations, and restaurant reservations.

Other Responsibilities:
  • Maintain speaker database and website (update, monitor, user maintenance)
  • Confirm and coordinate speaker programs
  • Generate Meeting Correspondence: invitation, confirmation letter, travel confirmation, av requests, thank-you letters
  • Speak directly with sales representatives or requesting institutions to finalize speaker program details
  • Process slide/CD duplication orders
  • Create and distribute monthly reports for speaker programs
  • Process all meeting fees, vendor payments, and airfare charges
  • Process honorarium and expenses reimbursement for each speaker
  • Routing of all correspondence through agency proof reading department
  • Work with the creative department to construct tent cards and name badges
Requirements
  • College Degree, emphasis in Communications/Marketing
  • 2 years professional business experience in medical
  • Healthcare industry preferred.
  • Excellent verbal and written skills
  • Highly organized
  • Good time management skills
  • Ability to multi-task, prioritize and troubleshoot
  • Very detail oriented, self starter, proactive, extremely accurate using required software programs.
  • Microsoft Office, with STRONG emphasis on Access, Excel and Mail Merging - database management, Internet
