About Position
Each Program Manager should be skilled in the areas of multi-tasking, organization and prioritizing, written and verbal communication skills, flexibility and adaptability and should have a high level of customer service while being deadline driven with the ability to work in a high pressure situation.
Client Relationship and Management Responsibilities
- Create, manage, and maintain client relationships and expectations
- Lead client planning meetings and provide agenda and meeting recap
- Understand our clients’ business, goals and objectives
- Understand and be comfortable discussing capabilities and offerings
- Share client updates/key information with planning teams and Account Executive team
- Provide solutions and recommendations to clients on process, compliance, sourcing, logistics, etc.
- Must be able to represent multiple meetings to clients and to multitask
- Ability to think strategically and offer solutions for challenges that arise in the planning process; able to articulate solutions to clients and internal team
Meeting Planning Responsibilities
- Estimate and manage budget on an on-going basis alerting clients at milestones
- Responsible to ensure work falls into scope of services and communicate with client regarding scope of services and management changes/increases
- Source, select, and secure appropriate hotel and entertainment venues
- Download projects in writing via the turnover document and implement with the team
- Register new meetings internally
- Conduct site visits as necessary
- Produce and manage meetings by detailed responsibility timeline
- Ability to offer solutions for any challenges that arise in the planning process
- Manage team in regards to responsibility timeline, including Assistant Program Manager and Program Coordinator to ensure task completion and program integrity
- Monitor and manage fees for each program and alert clients and company of discrepancies
- Responsible to delegate appropriate work to Assistant Program Managers and Program Coordinators to maximize profitability
- Responsible to own the entire meeting process regardless of tasks being delegated to other personnel
- Responsible to the Implementation Managers for key deliverables, profitability/hours analyses, program updates, etc.
- Plan meeting from budgeting to final billing
- Manage meeting on-site
- Travel is required and could include weekdays, weekends, and holidays
- Produce program summary at end of meeting
- Ensure all receipts are available for final billing and all program expenses have been captured - responsible for final bill accuracy
- Negotiate savings to ensure client metrics are met
- Closely manage vendors to ensure they are providing contracted deliverables
- Finalize all billing for program and present final reconciliation to clients
- Ensure compliance of all programs
Skills and Qualifications
- College degree in a related field
- 5+ years of industry experience
- CMP preferred but not required
- Healthcare/ Pharmaceutical experience is a plus
- International travel experience is a plus
- Ability to multi-task
- Ability to drive a team to move a project forward
- High level of customer service
- Strong organizational skills
- Must be detail oriented and highly accurate
- Ability to work in a team environment
- Ability to take ownership and prioritize projects
- Effective written and verbal communication skills
- Ability to stand for long periods, up to 8 hours while implementing on-site programs
- Willingness to travel
- Proficient in Microsoft Office Suite
- Ability to lift 25 - 30 lbs
