Position Summary:
Responsible for providing administrative support to both Account Services and Creative as well as supporting defined billable client/project management tasks as assigned. Targeting a minimum of 400 hours billable hours.
General & Daily Responsibilities
- Manages on-site and assigned off-site client and internal meetings (logistics, meeting refreshments/meals, client travel to/from event)
- Coordinates travel arrangements for assigned team members
- Maintains and updates SVP calendars for meetings, vacation, travel, etc.
- Submits AMEX and expense report submissions as assigned (SVP and VP level)
- Manages routine office support assigned (faxes, copies, mail, phone calls, etc.)
- Creates and edits projects involving PowerPoint and Excel (client or internal)
- Manages client contact database (ACT) for assigned clients/accounts
- Manages coordination of account reconciliations and CRM summaries
- Learns relevant client processes for assigned accounts so as to remain compliant with contractual agreements (travel, expense submissions, project management as assigned)
- Completes assigned conference reports, phone confirmations, project management tasks by working directly with AEs
- Assists with the billing process and tracking account receivables
- Compiles a client reference file or library of competitive information, completed jobs and other key documents.
- High school diploma or equivalent with at least two years of administrative experience or 2-years of relevant experience in sales, advertising or marketing.
- Working knowledge of MS Word, Excel, PowerPoint and Outlook
- Communication skills- oral & written
- Interpersonal savvy- easy to approach and talk to, builds rapport, relates well to people
- Project and task management- effectively and independently executes more than one task at a time, good independent judgment, solid organization skills,
- Planning- accurately scopes out length and difficulty of tasks and projects, anticipates and adjusts for issues and change in direction
