Position: Media Coodinator/Assistant Media Planner

Description:
We are currently looking for a Media Coordinator/Assistant Media Planner to join our team!
RESPONSIBILITIES:
Responsible for supporting the administrative activities of the media department Activities include, but are not limited to, the following:
- Take responsibility for the smooth and efficient day-to-day administrative operations of the department
- Support the media department in their efforts to serve the clients needs in a responsive, efficient, effective, and accurate manner
- Open and distribute department mail
- Departmental filing
- Maintain department binders
- Journal Logging: track ad placement/reproduction
- Resolve discrepant invoices and call for missing invoices and tearsheets
- Maintain good relations with outside vendors
- Enter schedule cost changes on PERQ after Planner approval
- Maintain manual cost database
- Plan internal and external meetings, including setting up for breakfast/luncheon meetings, as needed
- Departmental copying & faxing
- Assist planners with any administrative requests: check-in throughout day
- Consistently check-in with all planners throughout the day, and in particular, before leaving every night, to ensure help is not required
- Back-up PERQ computers
- Accept mail twice a week on PERQ computers
- All journals logged and filed by end of day Friday
- Discrepant invoices: Have all journals called and provide notes on needs list
- Add and delete agency and client personnel to comp lists
- BA or BS required
- Strong communications skills (both oral & written)
- Outgoing individual who portrays enthusiasm while learning and working with others
- Proactive individual who is a self-starter and able to act independently
- Able to learn quickly and to use key learning’s to think ahead and grasp the big picture
- Strong math skills with willingness and enthusiasm to work with numbers on a daily basis
- Highly organized and able to multi-task on a consistent basis; Able to balance speed with accuracy
- Able to take direction from numerous people
- Proficient in Power-point, Excel and Word
